Submitting Transcripts, Diplomas and Graduation Certificates

We answer questions regarding how to submit transcripts, diplomas, and graduation certificates.

My university has not finalized the grades of the final semester, and therefore I cannot provide the transcripts including the final semester. What should I do?

What you have to submit is transcripts that your university can officially issue at the end of the online application period. If the transcript for the final semester (or the last few semesters) is not yet officially issued by your university, you do not have to submit it. Just submit transcripts with only available grades at the time.

Do I need to seal my transcripts so you can be sure that I did not open the envelope?

No. You can see it before you post.

I participated in many summer schools abroad and I've got several credits for each university. Do I need to submit transcripts of all universities no matter how short I studied there?

If your main university (the university that issued your degree) recognize the credit you took in such summer school as (directly or indirectly) necessary credits for giving you a degree, please submit it, unless otherwise you do not necessarily have to submit it.

In other words, your main university recognizes that credit of the summer school as acredited credits in your main university, you must submit it.

If the credits of the summer school did not contribute to the number of credits you took in the main university, (e.g., you stayed in a foreign university during a summer vacation mainly for learning English but the credit you earned there is not at all relevant with your main university and it does not count as credits in your main university), you do not have to submit it.

I transferred to another university while I'm an undergraduate. Do I need to submit transcripts of both universities?

Likely yes.

If any credits in the previous university was directly or indirectly used (i.e., necessary) for getting your degree (BS and/or MS), you need to submit transcripts of both universities.

For examples, your current university recognizes some of the credits you earned in the previous university as some credits you need to graduate from your current university (or to get your degree), please submit both transcripts.

If this does not apply to you, all you need to submit are only transcripts of your current university.

Is GPA needed?

We prefer transcripts with GPA calculated if your university provides transcripts with GPA.

If not, you do not have to manually calculate your GPA.

Do I have to submit GRE scores?

No. We do not use GRE scores.

How much resolution do you need for scanned transcripts?

It depends on the font size of your transcripts. If we can read your scanned transcripts without hassle on screen (or after we print it), that resolution is sufficient. The maximum file size we assume is 10 MB, though we recommend less than 2 MB in general.

My graduation certificate is written in a foreign language. Do I need to translate it into Japanese or into English?

Certificates, documents, and materials written neither in Japanese nor in English have to be translated either into Japanese or into English. The translation must be verified as correct by university or by a public instituion such as an embassy.
